Having office device issues are no laughing matter. When an office device is not working properly, the unfortunate reality is that a single issue can cause a cascade of serious problems for all types of businesses. When devices malfunction, it can paralyze the entire office and make it extremely difficult or sometimes impossible to get the job done. Luckily, for most common office device problems – there are simple solutions that can either fix the damage or prevent it from happening in the first place. Here are a few of the more common problems you might encounter – and how to solve the issue.

#1. Paper Jams

Whether you’re making 1 or 100 copies – paper jams are incredibly frustrating to encounter. Not only will you have to start over and redo the same task, but oftentimes you aren’t even aware of a paper jam happening until several minutes have passed. As a result, you have received no copies and have wasted precious company time. The best thing to do to prevent paper jams is to always make sure that you’re using the right size paper for your prints and that the paper you need is properly loaded into your printer. When a printer gets down to the last few sheets, paper jams become more common. Therefore,  it is highly recommended to reload the paper into the printer before you start making copies.

#2. Shredder Problems

What do you do when your shredder just stops in the middle of a job? In most cases, the thing to do is wait. A shredder needs time to recover between jobs, and when you overwork it, you’re likely to cause a paper jam. Give it a half-hour to rest, and it should be functioning correctly again.

#3. Printer Quality Issues

There’s nothing worse than trying to print something for a big presentation and having the ink skip all over the page. If you’re not seeing things printed as clearly on paper as they appear on your screen, the first thing you should do is check what you’re sending to your printer. Sometimes, the settings will have your printer opting for speed over quality, which is great when you’re trying to produce 200 copies of the same bit of text, but a nightmare when you’re looking to produce one perfect page. If that’s not the issue, you might be running low on ink or toner, or your printer might be overworked. If you can afford to wait on your prints, the best thing to do is give your printer an hour and see if it produces high-quality prints again.

#4. Network Infrastructure Difficulties

In this day and age, no network is truly safe or 100% reliable. This is a major concern for businesses, because our networks are more connected than they’ve ever been. The best way to avoid problems with your network’s infrastructure is to only go to trusted web sites and make sure that you’re keeping your IT team of any issues that pop up with communication between computers in the office. If something doesn’t seem right, it’s always easier to ask and get clarification when a problem is in its early stages. The longer you wait, the harder it will be to fix.
